Contact Data Notice

Effective: 2026-09-11Version: 2026-09-05:formation

When you upload contacts from your own network into Knownroute, you are the controller of that data and we process it as your processor on your instructions. This notice explains how we handle that data lawfully, with minimisation and respect.

1. Roles

You decide which contacts to upload and for what purpose; you are the controller. We process that data only to deliver the service's features, as a processor acting on your instructions.

2. Your own network only

You should only upload data about people with whom you have a real relationship and a lawful basis to process. Do not upload purchased lists or data scraped from third parties.

3. Lawful basis and consent

Knownroute records consent state and honours the “do not contact” flag. You are responsible for having a lawful basis to contact each person and for respecting any request to stop.

4. Minimisation

Upload only the data you need for outreach (for example, a name, one contact method, and a relationship note). Avoid sensitive or unnecessary data.

5. How the data is used

We use contact data only to help you prepare messages that you send: to organise them, suggest who to reach, and draft outreach. Nothing is sent automatically.

6. Nothing is sent on your behalf

Outreach drafts are prepared for you to review and send from your own channels. The service does not contact anyone automatically.

7. No sale, no advertising

We do not sell your contacts' data, use it for advertising, or combine it across accounts.

8. Your contacts' rights

If a contact exercises their rights (access, rectification, erasure, objection), help us respond. Always respect a request not to be contacted.

9. Retention and deletion

You can delete contacts at any time, which removes them from your workspace. When you close your account, contact data is deleted on the same retention schedule as the rest of your data (purge after 30 days).

10. Security

Contact data is protected with the same measures as the rest of your information: encryption in transit, per-workspace isolation, and access control. Incidents: security@knownroute.com.
